Final Docs Admin

PRIMARY PURPOSE OF JOB AND CONTRIBUTION TO ORGANIZATION:

This position is primarily responsible for ensuring timely and accurate delivery of all final docs.                                                                                               

ESSENTIAL TASKS AND RESPONSIBILITIES: 

The following job functions are not all-inclusive.  The employee will be required to perform other job-related tasks/responsibilities requested by the supervisor.  Job duties may change as required by needs of company.

 

  • Monitor internal and external outstanding final doc reports to ensure docs are received and shipped in a timely matter.
  • Contact closing agents and or counties for outstanding docs
  • Sort daily incoming final doc/insurance mail
  • Monitor purchase reports and mail out hazard policy change letters
  • Enter final docs and upload/scan into our Document Database.
  • Oversee recordings and re-recording.
  • Other duties as assigned.

 

QUALIFICATIONS:

This position requires a high school degree or equivalent with knowledge of or experience in the mortgage banking industry a plus.  This position requires excellent oral and written communication skills; exceptional attention to detail with the ability to consistently produce accurate work, the ability to manage time, multi-task, prioritize work in a high paced environment with heavy volume of transactions, and ability and experience handling deadlines.  Additional qualifications required include a solid commitment to customer and employee service, outstanding interpersonal and problem solving skills, and incumbent must possess the ability to work in both a team and individual environment.  Position also requires proficient computer knowledge including MS Office (Word, Excel, and Outlook) and Internet Explorer with knowledge of DataTrac a plus.  Incumbent must be able to use independent judgment skills to make quick decisions within written policy and standard operating procedures.

 

SUPERVISION RECEIVED:

This position receives daily supervision and instructions from the Shipping Supervisor and/or Shipping Manager.  Incumbent makes some decisions within scope of job responsibilities and within written policy and standard operating procedures.  Incumbent’s work is consistently reviewed by manager.

INTERACTION WITH OTHERS: 

This position interacts occasionally internally with corporate executives/manager, company branch managers, and staff (including Account Executives, Client Service Representatives, Wholesale Loan Processors, Underwriters, Loan Registration Specialists, and Closer/Funders).  This position interacts consistently with external Approved Bankers, Brokers/Correspondents, Investors, Mortgage Insurers, and other industry partners.

 

PHYSICAL DEMANDS OF JOB: 

This position requires constant talking, hearing, and use of hands and fingers, as well as frequent standing and walking.  This position also requires occasional stooping, kneeling, twisting, turning, bending at waist, crouching and reaching with hands and arms.  Incumbent must be able to occasionally lift and carry up to 25 pounds.  Good vision at both close range and at distance is required.

 

WORK ENVIRONMENT AND SPECIAL CONDITIONS:

This position works primarily indoors in an office setting with occasional exposure to outdoor weather conditions.  A moderate noise level is typical for the work environment of this job.  Some rare travel by car may be required.
