Corporate Executive Assistant

Plaza Home Mortgage, Inc., a national mortgage company headquartered in the UTC area of San Diego, California, is seeking an Executive Assistant to work in our Corporate Office.

Plaza is privately owned and operates as a full service Mortgage Banker. We originate mortgage loans on both a wholesale and correspondent basis.

PRIMARY PURPOSE OF JOB AND CONTRIBUTION TO ORGANIZATION:

                

Provide high level support to Plaza’s top executives by effectively managing schedules and performing a wide variety of responsible, complex and confidential administrative, secretarial, analytical and research duties while maintaining high levels of confidentiality, initiative, tact, and independent judgment.

 

ESSENTIAL TASKS AND RESPONSIBILITIES:

The following job functions are not all-inclusive. The employee will be required to perform other job-related tasks/responsibilities requested by the supervisor.   Job duties may change as required by needs of company.

 

  1. Provide professional, administrative and personal assistance the President, Executive Vice President and Chief Financial Officer.
  2. Manage calendars, plan meetings and conference calls, pay bills, run errands, assist in travel arrangements for President, Vice President and CFO.
  3. Organize and maintain both electronic and paper filing systems.
  4. Work independently, often with confidential matters that require discretion in a deadline-driven, high-pressure environment.
  5. Provide general assistance in preparation of special events and meetings on as as-needed basis.
  6. Other duties as assigned.

 

QUALIFICATIONS:

 

This position requires a high school degree or equivalent with a college degree preferred and five plus years experience as an Executive Assistant to a C level executive (preferably owners of a company with a financial/real estate/mortgage background) plus five plus years experience in travel booking and corporate event planning. Additional qualifications required include excellent oral and written communication skills, exceptional attention to detail, the ability to manage time and prioritize work, a solid commitment to employee service – assisting employees at every level of the organization, and outstanding interpersonal and negotiating skills. Position also requires proficient knowledge of MS Office (Word, Excel, Outlook and PowerPoint) with strong word processing and spreadsheet skills.
